Key capabilities

Everything you need, in one place

Real-time Gantt view

Every employee's availability, allocations, and bench time in one rolling timeline.

Billability % per person

Auto-calculated from Hard Booked hours, colour-coded, and always live.

Demand planning

Log open resource needs by role, seniority, and technology before hiring is urgent.

Skills database

Primary and secondary role, seniority, tech stack, CV upload, and full CSV export.

Resource request workflow

A formal approval process with a permanent audit trail, replacing ad-hoc Slack messages.

FTE and calendar settings

Part-time employees, country-specific holidays, and multi-entity support built in.

The allocation Gantt

The core of resourcing, every allocation on one timeline

Every employee is a row. Their project allocations appear as colour-coded bars across a rolling timeline. Unallocated bench time shows as light pink, immediately visible without filtering or calculation. Filter by manager, unit, billable vs internal, and a range from 1 to 12 months.

Hard BookedConfirmed allocation. Counted in billability.
Soft BookedTentative. Dashed bar, not counted.
UnallocatedBench time. Continuous light-pink bar.

Billability tracking

Know exactly who is billable, live

Billability is Hard Booked hours divided by total available hours, based on each person FTE and working calendar. It updates the moment allocations change, and it is colour-coded so the bench is impossible to miss.

Below 30%
On the bench

Effectively unallocated. Revenue-idle capacity that needs attention now.

30 to 80%
Partially billable

Capacity still available, a good candidate for the next engagement.

80% plus
Fully billable

Fully or near-fully allocated to revenue-generating work.

!

Over-allocation is flagged too. Anyone above 100% billable is overallocated. Over and under-allocation are both visible, and both require action. Filter to billable employees and business-type projects to focus purely on revenue-generating capacity, then export to CSV.

Requests and approvals

A real approval workflow, not a lost Slack message

When a project manager needs to add a person, they submit a resource request. Every request carries a status, requester, approver, and timestamp. The audit trail is permanent.

1

Submit request

Employee, project, dates, allocation %, and booking type (Soft or Hard).

2

Route to approver

Sent to the relevant manager for review, with full context attached.

3

Approve or decline

A clear decision, logged against the request with a timestamp.

4

Permanent audit trail

Every request is retained: who asked, who approved, and when.

Direct reports the manager approves directly.
Non-direct reports routed to the employee unit manager for approval.
Demand planning
Demand planning

See what is coming before it becomes urgent

The Demand tab lets delivery leads and sales log open resource requirements before a project starts, or even before a deal closes. Every open demand is visible across the organisation, so recruitment sees what to fill and delivery sees what is next. The gap between closing a deal and staffing it becomes days, not weeks.

Skills and CV database

Answer an RFP for CVs in minutes, not hours

Every employee has a skills profile, and the full team matrix exports to CSV any time. When a client asks for CVs and skills profiles, everything is already in one place.

FTE and availability

Part-time and multi-country, handled automatically

Each employee FTE and working calendar are set in their People profile and flow straight into resourcing. A 50% FTE person has half the available hours, reflected accurately in both the Gantt and billability. Working calendars are country-specific, with national holidays built in.

FAQ

Resource Management, answered

Answers to the questions teams ask most about this part of Synthelio.

How is billability percentage calculated?

Synthelio divides an employee's Hard Booked hours by their total available hours, derived from their FTE percentage and working calendar. It updates live as allocations change.

What's the difference between Hard Booked and Soft Booked?

Hard Booked is a confirmed allocation and counts toward billability. Soft Booked is tentative, shown as a dashed bar, and is not counted, so you can plan around possible work without inflating utilization.

How does Synthelio surface bench time?

Unallocated time renders as a continuous light-pink bar directly in the Gantt, visible without any filtering. Over-allocation above 100% is flagged too, because both under- and over-allocation need action.

Can it handle part-time staff and multiple countries?

Yes. FTE percentage and country-specific working calendars (UK, US, Poland and others) flow into every calculation, and national holidays adjust available hours automatically with no manual correction.

How do resource requests get approved?

A manager submits a request with the employee, project, dates, allocation %, and booking type. Direct reports are approved by their manager; others route to the unit manager, with a permanent audit trail.

Can I export resourcing and skills data?

Yes. Billability exports to CSV for reporting, and the full team skills matrix exports from the Skills tab at any time, ideal for responding to client RFPs.
